Moving a madrasa from paper and spreadsheets to proper software sounds like a big project. It does not need to be, as long as you do it in the right order and do not try to change everything in one weekend.
Step 1: gather what you already have
Collect the registers, the enrolment forms and the fee spreadsheets in one place. Most of the student data already exists somewhere. The job is getting it into one list rather than three.
Step 2: build a proper student profile
Beyond name and class, a madrasa needs date of birth, medical conditions, allergies and emergency contacts. These are the details that matter on the one day something goes wrong, and they are exactly the ones that live on a paper form in a filing cabinet.
Step 3: link parents, not just children
Many families send siblings to the same madrasa. One parent account covering all their children saves a lot of duplicate messages and forms.
Step 4: start with attendance
Attendance is the easiest win and the one teachers feel straight away. Get the register running first, then move fees across once everyone is comfortable with it.
Step 5: import rather than retype
If the student list is already in Excel, import it. Retyping a few hundred records by hand is where errors creep in.
Hidayah is a madrasa management platform built for this move, with full student profiles, linked parent accounts, bulk import from Excel or paper, a mobile register and fee handling in one place.
